PracSuite Xero sync: daily totals per payment type
PracSuite sends Xero one invoice per payment method per day, not individual patient invoices. Medicare and DVA totals are split per provider, card and health fund totals can be consolidated or separated, and refunds are left out. So the Xero side is a daily cash summary, and matching it to a funder deposit is still work someone does.
Key facts
- How data reaches Xero
- One Xero invoice per payment method per day, built from the payments entered that day1
- What is not sent
- Individual patient invoices, which the vendor says it does not mirror2
- Account mapping
- A default sales and payment account, with overrides by business, payment method, schedule and item code2
- Medicare and DVA
- Separated per provider, to match the way the payments appear on a bank statement1
- Card and health fund totals
- One consolidated amount, or credit card split by card type and health fund split by entry method1
- Tracking categories
- A category chosen under the Businesses heading, applied to the invoices and payments the sync creates3
- Refunds
- Not considered when syncing, and a refund does not change what was already uploaded1
- Re-syncing a date
- A date already synced cannot be uploaded again, and upload periods cannot overlap2
- Accounting basis
- Payments received rather than revenue billed, so the Xero side is a cash view4
What the sync actually sends
PracSuite does not push a patient invoice into Xero. It summarises the payments entered in PracSuite and sends the summary, and the vendor is direct about the trade: payments are synced to Xero as daily totals per payment method, and individual invoices are not mirrored. Sync a single date and Xero receives one invoice for cash, one for EFTPOS, one for bank transfer, and so on for every method that took money that day.
That is a deliberate design rather than a missing feature, and it is the opposite choice to the one Cliniko makes. Pushing every invoice gives Xero the detail and leaves the bookkeeper with hundreds of payments no bank line matches. Pushing daily totals gives Xero something that looks like a bank statement and takes the patient level detail away. Which one is easier depends entirely on who pays the practice.
Five levels of override, and what each one moves
The mapping depth is the strongest part of the integration. A practice picks a default sales account and a default payment account, then narrows from there.
- Default. One sales account for the income and one payment account for the money, usually the bank account the payments settle into.
- Business. Account settings can be overridden for a particular business inside the one PracSuite instance, which is what a multi entity group needs.
- Payment method. Each method can be uploaded to its own account, a method can be excluded from the sync, credit card totals can be consolidated or split by card type, and health fund totals can be consolidated or split by entry method.
- Schedule. A different sales account applies when a payment is allocated to an item code inside a nominated schedule.
- Item code. A single item can be excluded, or pointed at its own sales account.
The schedule and item code levels matter more than they look. Because a Xero account carries its own default tax rate, pointing a schedule at its own sales account is also how a taxable service gets a different tax treatment from a GST free one, without anybody touching a tax rate on a line.
The part built for settlements
One sentence in the vendor documentation explains why PracSuite reads as the most settlement aware of the native integrations: Medicare payments are automatically separated per provider to best match how payments appear on bank statements, and DVA works the same way. Services Australia pays per payee provider number, so a per provider total is a total that can meet a bank line.
The consolidation toggles do the same job for cards and funds. Split credit card totals by card type and the Xero side lines up with a merchant statement that settles Visa and Mastercard separately. Split health fund totals by entry method and terminal claims stop being mixed with claims lodged online. That does not remove the matching work. It does make the matching possible.
What sits inside one payment method total
A payment method is not a funding source, and it is not a service type either. One EFTPOS total on one day can hold a private consult, a health fund benefit, a report and a product sale, and the standing map posts those four to four different accounts on two different tax treatments.
The item code override is how a practice gets that split, so the work moves from month end to setup: every item code that is taxable, or that belongs to a different funder, has to be pointed somewhere before the first sync rather than found later in a GST return.
The date the total carries
This is the part no vendor page addresses. The daily total is built from the payments entered in PracSuite on that date. A scheme deposit does not arrive on that date. Medicare bulk bill pays a run of claims days after they were lodged, and NDIS agency managed pays a batch days after the bulk payment request went in.
So the Xero invoice and the bank line are dated differently and grouped differently. One deposit can cover claims receipted across several days, and one day's total can hold claims that three separate deposits will eventually pay. If the payment account on the connection is the real bank account, those totals land in an account whose statement does not show them. If it is a clearing account, they wait there until the deposit arrives, which is the whole reason the pattern exists.
Three things it does not do
| What is not carried | What the vendor says | Where the work lands |
|---|---|---|
| Invoice level detail | Individual invoices are not mirrored into Xero | Patient level questions are answered in PracSuite, and Xero holds the totals |
| Refunds | Refunds are not considered when syncing, and refunding a payment does not change the amounts already uploaded | A manual credit note or journal in Xero, chased from a PracSuite report |
| A second attempt at a date | A synced date cannot be uploaded again, and upload periods cannot overlap | A correcting entry in Xero, because the sync will not replace what it sent |
You cannot re-upload dates that have already been synced to Xero.2
The one way door is the constraint worth planning around. Get the account mapping wrong for a week and the fix is a Xero entry, not a re-sync, so the override levels are worth setting deliberately before the first upload period rather than adjusted as things turn up.
Cash by default, accrual by hand
PracSuite uploads a payment total for each day per payment method, and it uploads on payments received rather than all revenue billed in a period. For a practice reporting on a cash basis that is the right answer and the story ends there. For an accrual practice the vendor documents a monthly routine.
- Sync the payments as usual.
- Compare the outstanding balance in the PracSuite account balance report against the receivables balance on the Xero balance sheet, and journal the difference.
- Use Find and Recode to take the GST off the transactions the sync uploaded.
- Put GST back on the accrual amounts, using PracSuite's GST reconciliation report run on the accrual method.
Steps three and four are the ones to read twice. A practice on accrual is stripping and re-adding GST on synced transactions every month, which is a fair amount of exposure for a step only one help article describes.
One tracking category, and where it points
PracSuite does carry Xero tracking categories, in an article of their own rather than in the setup guide, which is why the feature is easy to miss. Select the Xero organisation, then under the Businesses heading choose which tracking category to apply to the invoices and payments the sync creates. In the vendor's example the category is called Business and its options are the businesses in PracSuite. If the list comes up empty, the category has to be created in Xero first.
A category set that way answers a question about entities. It does not answer a question about practitioners or rooms, which is what a practice owner tends to ask for at the end of a quarter. Practitioner reporting on a PracSuite file therefore stays in PracSuite, or it comes out of the account code rather than out of tracking.
What the Xero side looks like either way
A clearing account per settlement source turns a daily total from a problem into a queue. The pattern is not unusual and it is not a Ledger Map idea: SimpleClinic documents the same thing for its own users, a BAS excluded current asset account that holds transactions before they are allocated to other accounts in Xero, with a bank rule per merchant and per HICAPS settlement line.
What bookkeepers report on this shape of sync
There is no practitioner thread about PracSuite and Xero to quote. The Xero App Store listing for PracSuite carries no rating and no reviews, and it describes the integration as syncing invoices, payments, contacts, accounts, tax rates and items, which reads as invoice level detail to anyone who has not found the help centre sentence that says the opposite.
The nearest voice is an Australian bookkeeping practice writing about a different system. Festival Bookkeeping lists clearing account confusion and payments deleted in the practice system that stay in Xero among the recurring problems it sees on Cliniko files. That second one is the same shape as the refund sentence here: the correction has to be made twice, and the Xero half is the half that gets forgotten.
Where PracSuite sits against the other systems
Read on the same six columns as the other nine practice systems, PracSuite is at the thick end of the range: overrides at four levels below the default, per provider scheme totals, and consolidation toggles built for how money actually settles. Bp Allied is at the thin end, with a manual export and one bank account on the connection. Zanda sits between them, with a documented clearing account pattern behind a manual batch export.
What Ledger Map does with a PracSuite practice
There is no PracSuite connector today. A PracSuite practice uses the drop zone: the funder remittance, the practice system report and a bank statement export are read there, the rows are matched, and the deposit is posted as one balanced document set against the funder's clearing account, which leaves one exact match in the bank feed.
The accounts and tax rates come from a standing map the practice approves once, drawn from a canonical template rather than chosen by the software, so the four rows in the graphic above are settings a person signed off. Anything the map cannot resolve becomes a question with the options laid out, not a silent posting. That is how Ledger Map works whichever system the file came from.
Questions
Does PracSuite send individual invoices to Xero?
No. The vendor states that payments are synced to Xero as daily totals per payment method and that individual invoices are not mirrored. Xero receives one invoice per payment method for each synced date, so patient level questions are answered in PracSuite and Xero holds the summary.
How does PracSuite handle refunds in the Xero sync?
It does not. The help centre says refunds are not considered when syncing, and that refunding a payment will not change the invoice amount or payment amounts already uploaded. The Xero side has to be corrected separately, which is worth putting on a month end checklist rather than leaving to memory.
Can you re-sync a date in PracSuite if the mapping was wrong?
No. The vendor says a date already synced to Xero cannot be uploaded again and that upload periods cannot overlap, so an end date is all you get to choose. A mapping mistake is fixed with a correcting entry in Xero rather than by sending the day again.
Does PracSuite support Xero tracking categories?
It does. A tracking category is chosen under the Businesses heading on the Xero organisation and applied to the invoices and payments the sync creates, and in the vendor's example its options are the businesses in PracSuite. Practitioner and location are not mentioned, so a per practitioner split has to come from the account code or from PracSuite's own reports.
Does the PracSuite Xero sync work for accrual accounting?
It uploads payments received rather than revenue billed, so an accrual practice follows the vendor's monthly routine: journal the receivables movement, use Find and Recode to take GST off the uploaded transactions, then put GST back on the accrual amounts from PracSuite's GST reconciliation report on the accrual method.
Why does a Medicare deposit not match the PracSuite daily total?
Because the two are dated and grouped differently. The daily total is built from payments entered on that date, while Services Australia pays a run of claims later and per payee provider number. A clearing account holds the per provider total until the run lands, which turns the difference into a queue instead of a variance.
